Administrative Assistant

Job Responsibilities:

  • Scheduling meetings and travel arrangements for CEO
  • Manage Political Action Committee (PAC) events including check processing and record keeping
  • Manage workflow ensuring that deadlines are met and work is completed correctly
  • Generate memos, emails and reports when appropriate
  • Assume responsibility for maintenance of office equipment, including computers, copy machines, postage machine, etc.
  • Maintain office supplies by checking inventory and order items
  • Maintain CRM for association
  • Assist in website content management and social media platforms
  • Respond to questions and requests for information
  • Answer incoming calls and assume other receptionist duties as needed
  • Assist with legislation tracking and monitoring
  • Assist with event planning and execution
  • Assist with Annual Association Membership Directory
  • Other duties as required/requested

Experience/Skill Requirements:

  • High school diploma with one to three years of administrative experience required, Associates or Bachelor's degree preferred
  • Excellent communication and organizational skills, with attention to detail
  • Excellent writing and proofreading skills and proficiency in Microsoft Office (Mainly MS Outlook, Word, and Excel)
  • Knowledge of social media platforms (i.e. Twitter, LinkedIn, etc.), Constant Contact, and Canva
  • Experience with non-profit or legislative office, a plus
  • Possess a high degree of professionalism, poise, and tact to facilitate and foster relationships with Association Members
  • Knowledge of Albany political scene as well as state and local government
  • Ability to prioritize and handle multiple tasks in an organized and efficient manner and work independently
